The brief

Our client wanted to create a weeklong conference and incentive to reward, inspire and motivate but it had to be in the perfect Asia destination for access, a stand out 5* hotel property and a programme that could deliver a fusion of cultural experience and jaw dropping gala dinner events.

The solution

After working on the fifth major global conference for this client, we knew exactly what their delegates would respond well to, so we took them to Kuala Lumpur (KL), Malaysia.  Different to any resort or beach destination, the hustle and bustle of KL was a significant draw for delegates to aspire to be a part of, offering an exciting, cosmopolitan city with easy access for all their delegates, rich culture and was also their next emerging business market.

The Hotel was the lavish Grand Hyatt Kuala Lumpur, overlooking the infamous Petronas Towers –  a major Malaysian landmark – to host the delegates and offer versatile conference and meeting facilities, as well as the capacity to allow for simultaneous and relay translation.  This was fundamental and had to be considered throughout the programme to enhance the delegate experience and further promote an inclusive company culture.

The programme consisted of a sequence of evening events and daytime excursions, ensuring the group experienced the very best of KL.  The first evening, guests were taken to Tamarind Springs, an intimate but spectacular rainforest venue and the perfect setting to host an awards evening for top performers amidst a plethora of entertainment and traditional cuisine.  Day two, delegates visited iconic sights such as Batu Caves and mesmerising Hindu temples before creating their own Pewter Bowls at the School of Hard Knocks; while others enjoyed a CSR activity of planting trees in Kuala Lumpur’s man-made rainforest.

The CSR activity was an important element to the event, reflecting the theme of the conference which focussed on growth and planting seeds for the future, as well as offering a way to give back to their host city.  Every idea through out the programme was fully in line with the client message of growth and creation, as well as showcasing cultural nuances of the city.  The final gala dinner was a show stopping and vibrant occasion with the ballroom of the Grand Hyatt being transformed into a vivid Carnival themed event.  Colourful drapes hung from the ceiling and about the stage where carnival dancers performed high energy renditions to the beat carnival music.

 

The verdict

Planned and managed with care and deliberation, we produced our sixth seamless and unforgettable experience for our client.  The feedback from delegates was phenomenal, and our client, who had been doubtful of bringing the event to a busy city location, was blown away by the way that we laced company values into every element of the 5-day programme.
